Use this checklist every time you onboard a new client: no matter your niche. Work through each phase in order and check off as you go. Never drop the ball on a new client again.

01 Before They Sign

Send proposal or service overview Confirm scope, dates, and deliverables verbally Answer any outstanding questions

02 Day They Say Yes

Send contract for signature Send invoice or payment link Set a deadline for both to be returned before work begins

03 Once Contract + Payment Are In

Send welcome email confirming everything is official Deliver welcome kit / service guide Send intake form or questionnaireif applicable Add to your client tracker Block dates on your calendar Set reminder for follow-up touchpoint

04 Before First Session / First Day

Confirm appointment 24–48 hours in advance Review intake form responses Prep any materials, notes, or supplies needed Test any techZoom, scheduling link, etc.

05 After First Session / Service Delivery

Send recap or next steps email Log session notes in tracker Schedule next appointment Note any preferences or details for future reference

06 Ongoing

Check in at agreed intervals Track progress toward client's goal Flag any scope changes in writing Request testimonial at natural milestone
